Account Payable Specialist

About the role

The Account Payable Specialist will support the A/P Manager in Monaco, ensuring accurate vendor onboarding, invoice processing and payment execution within a fast‑paced, deadline‑driven environment.

Key responsibilities

• Collect and verify documentation for new or updated vendors, submit for corporate approval and perform VIES VAT verification.
• Assist the A/P Manager with vendor screening and maintain communication with marine procurement teams.
• Ensure vendors receive correct purchase order and project codes, post invoices, apply three‑way matching and resolve discrepancies with Procurement.
• Monitor purchase order variances, including foreign‑exchange impacts, and archive invoices according to guidelines.
• Prepare payment batches, support shipyard reconciliations, respond to vendor queries and assist with auditor requests and NewBuild reporting.
• Provide backup for other A/P Specialists as needed.

Required profile

• Degree in Accounting, Finance, Economics or related field (preferred).
• Minimum three years of experience in maritime, shipping, airline or large construction project finance.
• Meticulous, assertive, able to handle workload and meet strict deadlines.

Required skills

• Proficiency in MS Office.
• Experience with ERP systems (preferred).
• Basic knowledge of French, Italian and EU VAT reverse‑charge rules.
• Fluent written English; spoken English a plus.
• Familiarity with AMOS is an advantage.
