Account Payable Specialist

About the role

The Account Payable Specialist will support the A/P Manager in Monaco, ensuring accurate vendor onboarding, invoice processing, and payment execution. This role demands meticulous attention to detail, strong adherence to deadlines, and effective communication with internal and external stakeholders.

Key responsibilities

• Gather and verify vendor documentation, submit for corporate approval, and assist in vendor screening.
• Apply VIES VAT verification when required.
• Inform vendors of correct purchase order and project codes.
• Post invoices against purchase orders, perform 3‑way matching, and resolve discrepancies with Procurement.
• Notify the A/P Manager of purchase order variances, including foreign‑exchange differences.
• Maintain properly coded invoice archives following manager guidelines.
• Prepare payment batches as directed.
• Participate in reconciliations with shipyard departments and communicate fluently with Marine Procurement and vendors.
• Support audit requests and NewBuild reporting preparation.
• Back‑up other A/P Specialists as needed.

Required profile

• Degree in Accounting, Finance, Economics or related field (preferred).
• Minimum 3 years of experience in maritime, shipping, airlines, or major construction projects.
• Professional proficiency in written English; spoken English is a plus.

Required skills

• MS Office
• ERP systems (preferable)
• Basic knowledge of French VAT, Italian VAT and EU VAT reverse charge rules
• Experience with VIES VAT number verification
• Familiarity with AMOS (a plus)
